Overview
Folder privacy is determined by the access rights you choose to assign to the people you share the folder with. Sub folders under the top level parent folder will take the privacy from the parent folder.
Please reference the Assigning Access Rights in Folders for specific details about each access right mentioned below.
Please reference the Share a Folder for specific details about sharing folders with users.
Organizations on the free subscription cannot create protected nor private folders. All folders in the free subscription are open and all members are folder Managers.
Creating Open Folders
The default state for top level parent folders is to create the folder and make all members of the organization Managers of the folder. This gives access to the folder for every member of the organization, and allows them to manage any aspect of that folder. You can think of these folders as “Open folders” where every member can see, manage, and participate in any activity in that folder.
If you don’t want all members of the organization to be able to manage the folder, it’s not a problem! Simply assign the access rights as follows:
For the people you want to manage the content but not the folder, you need to make them a Full Editor or a Writer.
For the people you want to only view the folder content, you need to make them a Reader.
Creating Protected Folders
There are some use cases where it’s okay, even desired, for every member of the organization to see the content in a folder, but you want to limit the editing of the content in that folder to just a few people. You can think of these types of folders as “Protected folders” where every member can see all of the activity but only a few can manage the content in the folder.
For the people you want to manage the folder as well as the content, you need to make them a Manager.
For the people you want to manage the content but not the folder, you need to make them a Full Editor or a Writer.
For the people you want to only view the folder content, you need to make them a Reader.
Creating Private Folders
When you have sensitive information that you need to share with only a subset of your membership, you can create a folder where the access is limited to only those select people, and the folder is invisible to everyone else. You can think of these types of folders as “Private folders” where only select members can see and access the content, and the folder is inaccessible to others.
To create a private folder:
- In the folder sharing dialog select None
- Click Add+ to add only the users you want to be able to access the folder – select their name from the list or type in their email address
- Assign the appropriate access rights for each user
For the people you want to manage the folder as well as the content, you need to make them a Manager.
For the people you want to manage the content but not the folder, you need to make them a Full Editor or a Writer.
For the people you want to only view the folder content, you need to make them a Reader.
